Events ServicesIt allows our clients to spend time on making personal connections in order to fundraise instead of focusing on the logistics of the event. On-site they have an opportunity to network and enjoy the event without worrying about what’s happening behind the scenes.WSC manages the entire event process from planning to implementation. We develop a detailed checklist and timeline for the event and provide periodic updates to the client. On-site we manage the logistics and work with the venue staff to ensure a smooth registration process and a successful program.

WSC provides the following event management services, but we are not limited to these services and we can customize our contracts to fit the any need.

  1. Rent AV equipment for meetings, conferences, trade shows, etc.
  2. Conduct search for event venue and submit recommendations to committee for final decision
  3. Negotiate venue contracts
  4. Serve as liaison between Client and venue representative.
  5. Coordinate meeting and break-out rooms, AV equipment, meals, sleeping rooms.
  6. Make necessary arrangements for speakers, special guests and council members as necessary
  7. Coordinate with vendors for printing and promotional items.
  8. Develop and maintain event website/webpage as necessary
  9. Prepare and mail event promotional materials to prospective attendees.
  10. Create and maintain event registration database.
  11. Collect payments and make deposits and provide event financial statements.
  12. Provide registration confirmations to registrants.
  13. Prepare and monitor event budget
  14. Process payments to outside vendors
  15. Respond to inquiries via email or telephone.
  16. Design and prepare event program and agenda.
  17. Prepare certificate of appreciation, plaque, trophies or gift for speakers/attendees
  18. Handle on-site registration for each event and work with the site regarding logistics
  19. Prepare registration materials for distribution (forms, name badges, promotional items, etc.).
  20. Prepare a final attendance report and make deposits or render invoices as needed
  21. Prepare and send thank you correspondence to participants, donors and/or sponsors.
